Fair Use Policy

This policy explains how Darouta keeps its AI features fast and reliable for everyone — and what happens in the rare case of exceptionally heavy use. It is about how intensively the AI is used, not about what you are allowed to do: acceptable and prohibited conduct are covered by our Terms of Service.

What this policy covers

Darouta's AI features — the natural-language command bar, AI file parsing, voice input, and working-time checks — run on shared AI infrastructure. This policy sets reasonable bounds on how heavily those features can be used, so that one workspace's exceptional load never slows the service down for everyone else. It governs usage intensity only.

Normal use is always fine

You should never have to think about this policy. Everyday rota planning — drafting, editing, sharing, and using the AI command bar, file parsing, and voice input at a normal professional pace — works as expected, with no special action from your team. Normal, human-paced use never approaches a fair-use limit, however busy your team: the volume that does is characteristic of automated scripts, bulk or programmatic requests, or deliberate attempts to overload the service, rather than of people planning rotas. The vast majority of teams never encounter the handling described below.

AI allowances by plan

How much AI you can use depends on your plan. Essentials includes a daily allowance of AI commands for everyday planning. Pro is built for heavier, professional use and has no daily cap. See our pricing page for what each plan includes. If your team regularly needs more, upgrading to Pro gives you far more headroom — or contact support to talk it through.

What happens with exceptionally heavy use

Only sustained, exceptionally heavy AI use — not a one-off busy day — may trigger fair-use handling. If it does, one or more of the following may happen for a while: some AI requests run on a lighter, faster model, which still works but can be slightly less precise on tricky inputs; responses may be a little slower; or short temporary limits may apply. This is the same approach large AI products use to stay responsive at peak demand.

It is always temporary. Once your usage returns to normal or your allowance window resets, full AI behaviour is restored automatically — you do not need to do anything, and there is never an extra charge for it.

What this policy never does

  • It never removes access to your workspace or your account.
  • It never changes, deletes, or hides your saved rota data.
  • It never affects schedules you have already published or shared via Live Schedule.
  • It never adds surprise charges or overage fees.

Changes to this policy

We may update this policy from time to time to reflect how our AI features work. The current version always lives on this page.
